General Details

Registration

As presenting author, you are required to register as a conference attendee for the 2023 AACC Annual Scientific Meeting & Clinical Lab Expo, paying the appropriate registration fee. Staff from exhibiting companies must also register and pay the conference registration fee.

  • Accepted registration types for poster presentation are Anaheim All Access or Daily registration.
  • Expo Only or Exhibitor badges are not eligible registration types to present a poster. If you are registered with one of those types, you must also pay for the Anaheim All Access or Daily registration fee to present your poster.

Registration deadline for listing in printed program (New in 2023): For your abstract to be listed in the printed program, you must register by May 4, 2023 May 24, 2023 (deadline extended). If you are not able to register by this deadline, your abstract can still be included in the online listings and mobile app. However, it may not be included in the printed program.

If you have not registered before the meeting, you will be required to pay the registration fee before setting up your poster in the poster hall.

Abstract Withdrawal

If you must withdraw an abstract, please notify AACC via email as soon as possible, citing the abstract number, poster number, title, presenting author, and scheduled presentation day. If your abstract must be withdrawn during the meeting, notify AACC staff at the poster desk located outside the poster hall in the Anaheim Convention Center.

Failure to present an accepted poster without prior notification may jeopardize your ability to present at future meetings.

Poster/ePoster Preparation & Requirements

Guidelines are for both physical, in-person posters and ePosters. You should upload the same poster to the ePoster system that you display as a physical poster in Anaheim.

Poster Size

  • All posters can have a maximum size of 46 inches x 46 inches (117 cm x 117 cm).

In-Person Display Board Details

  • The poster number provided by AACC will be placed in the upper corner and measures 8.5 inches long by 5.5 inches high (approximately 22 cm x 14 cm).
  • Pushpins will be provided to adhere posters to designated poster boards.
  • Please note that if your poster exceeds the size limits, it may be cut, folded, or otherwise modified to fit the allotted display room.

Title and Authors

Your title must contain the following information:

  • Poster number as provided by AACC.
  • Title as submitted on your abstract.
  • Presenting author and all co-authors.
  • Affiliation(s).

Please note that AACC only provides the poster number placed in the upper corner.

Basic Content Requirements

Your poster presentation should contain a clear description of the following:

  • Background of your study (why you did this work).
  • Method(s) used to achieve a solution.
  • Results obtained (figures, tables, etc.).
  • Conclusions and importance of your work to laboratory medicine.

Presentation

  • The information you display should have a professional appearance.
  • All information should be easily read from at least 5 feet away from your poster.
  • Instruments, components, and reagents are NOT permitted in the poster area.

Text Production

  • All type should be a minimum of 24 pt. font (approximately 0.3 inches or 0.8 cm height) and readable from a distance of 5-7 feet (1.5-1.7 meters).
  • Headings for abstract title and numbering for subsections should be a minimum of 72 pt. font (approximately 1 inch or 2.5 cm height).
  • Subheadings should be a minimum of 36 pt. font (approximately 0.5 inches or 1 cm height).

ePoster and Audio Narration File Formats

All poster presenters are expected to upload their poster to the ePoster platform. You are also able to upload a short audio narration. This narration can be a maximum of 5 minutes. It is highly encouraged, as it provides some substitute to the in-person interaction for people viewing your poster online.

The following are the accepted file formats for your ePoster and audio narration. Any other file format will be rejected by the ePoster upload site.

  • ePoster: PDF
  • 5-minute or less audio narration: M4A or MP3

Uploading Your Files

The ePoster upload site will open the week of May 8, 2023. 

You will receive a notification when it is available. Before uploading your ePoster and audio narration, you will be required to complete a Permission to Record and Reuse form online.

Important Reminders

  • You must complete the Permission to Record and Reuse form in the ePoster upload site in order for your poster to be included in the ePoster platform.
  • Double check that your audio narration is no more than 5 minutes long. Your file may be rejected during review if it exceeds 5 minutes.
  • If you have more than one abstract, be sure you are uploading the correct ePoster and audio narration files for each abstract.

Poster Presentation

All posters must be presented in person at the AACC Annual Scientific Meeting in Anaheim.

Poster Sessions Schedule

In-person posters are on display throughout their assigned day. Poster presenters are expected to attend their poster session from 1:30 – 2:30 p.m. on that day to present their poster to meeting attendees. This day was communicated to you in your acceptance notification.

Set Up Requirements

  • You are required to set up your poster anytime during the 2-hour window that precedes your assigned session at 9:30 a.m.
  • You are required to register for the AACC Annual Scientific Meeting & Clinical Lab Expo, paying the appropriate registration fee (either the Anaheim All Access or Daily registration option). Exhibiting staff are also required to register.
  • You will not be allowed to set up or attend the poster sessions without the appropriate conference badge. The posters will be in the Anaheim Convention Center.
  • Your poster is to remain on view for the entire day (9:30 a.m. – 5 p.m.). You are free to view other posters in the session outside the 1:30 – 2:30 p.m. poster presentation period.
  • You may bring handouts containing pertinent information from your abstract.

Attendance Time

You are expected to be at your poster from 1:30 p.m. until 2:30 p.m. on your assigned day to discuss your results with attendees.

Poster Removal

Your poster must be removed by 5 p.m. on the day of your presentation. AACC is not responsible for posters left on boards after 5 p.m. Unclaimed posters will be kept in the poster reclaim bin near the poster check in desk until Thursday, July 27 at 1 p.m. After that time, they will be discarded.

Presentation at Other AACC Annual Scientific Meeting Activities

If your poster has been accepted for presentation during the Student Research Award Poster Competition, Academy Oral Abstract presentation session, or at an AACC Division event, you must still display and present your poster on the day and time it is assigned for the main conference.

ePoster Access

Attendee access during the meeting:

  • Digital Pass Select attendees can view all ePosters and audio narrations on the Digital Platform starting on Tuesday, July 25.

Attendee access following the meeting:

  • In-person attendees will get access to view all ePosters and audio narrations on the Digital Platform starting Friday, July 28.
  • Digital Pass Select attendees will continue to have access.
  • The Digital Platform will be available to all attendees throughout August.

Abstract Access

All accepted abstracts will be made available prior to the meeting in the AACC mobile app and on the program planner website. More information on how to access both of these will be available later this summer.
